Privacy policy

This policy says what First Pass collects, what it does with it, who else handles it, and how you delete it.
1. Who this covers
First Pass is a research tool for licensed real estate agents. "You" means the agent who holds the account. Your clients do not have accounts, and First Pass does not contact them.
You decide what goes into First Pass about a transaction. When you upload a document that names your client or another person, you are responsible for having the right to do so, and First Pass handles it on your behalf and at your direction.
2. What we collect
- Your account: the email address you sign in with and a password, which is stored scrambled by our sign-in provider and cannot be read by us.
- Your profile, if you fill it in: your name, license number, firm, firm license number, and the phone and email you want printed for clients.
- Your settings: your adjustment figures, your contract to close checklist, and the vendors you save.
- Your properties: the addresses you run, and the public-record facts found for each, every one stored with its source and the date it was checked.
- What you upload: MLS screenshots, PDFs and exports, inspection reports, contracts, and your office checklist.
- What you type: net sheet answers, comp worksheet entries, repair choices and figures, contract dates, and first names you enter for a client's copy.
- Records of use: when research was run, which sources answered, and what each run cost us, so the service can be kept working and billed fairly.
3. What we do not collect
- No information about the people who live in or near a property: no crime data, no demographics.
- No advertising or tracking cookies. The only thing kept in your browser is what keeps you signed in.
- No payment card numbers. Stripe handles your card and keeps its details; First Pass keeps only Stripe's reference to you, your plan, and what you have paid for.
- In an MLS export, private remarks, showing instructions, directions and owner names are not read in.
4. How we use it
To do what you asked: run the research, build your documents, and keep them for you to open again. To keep the service secure and working. To count properties against your plan. We do not use your data, or your clients', for advertising, and we do not sell it.
5. Who else handles it
First Pass runs on services provided by other companies. Each one handles data only to provide its service to us:
- Supabase hosts the database, the files, and sign-in.
- Vercel hosts the website.
- Stripe takes payments. It receives your email, your name if you gave one, and what you bought. Your card never reaches First Pass.
- A private server that we rent runs the research and builds the documents.
- Anthropic provides the AI that reads documents you upload: MLS screenshots and PDFs, inspection reports, contracts and your checklist. Those files are sent to it for that reading. It also runs the web search behind a vendor search, which is given the trade and the city, not your client's details. Its commercial terms govern how it handles what it is sent.
- Public sources: to look up a property, its address, parcel number or map location is sent to the county, city, state and federal sites named on each fact. State licensing boards and the national radon directory are asked about businesses by name or ZIP code.
We may disclose information when the law requires it, such as in response to a valid court order.
6. What is kept apart, and what is shared
Your properties, facts, uploads and documents are visible to your account only. This is enforced in the database itself. MLS information you upload is never combined with another agent's.
One thing is shared across accounts: public facts about a business found in a vendor search (its name, address, licence and what its own website says) are reused for other homes in the same city for up to 30 days. Vendors you save yourself are not shared.
7. Your AI assistant, if you connect one
This is optional and off until you make an access key. A key lets an assistant you choose read your properties and start research. What that assistant does with what it reads is governed by your agreement with whoever provides it, not by this policy. A key is stored only as a scrambled fingerprint, and you can switch it off at any time.
8. How long we keep it
A property stays on your account until you delete it. We do not delete your properties on a schedule, because your license may require you to keep transaction records, and you may need to reopen a file.
- Deleting a property removes its facts, its documents and the files you uploaded for it, straight away.
- Closing your account removes every property, your settings, your keys and your sign-in, straight away.
- What remains after deleting: a line recording that a property was used in a given month (without the address), and copies inside our hosting providers' routine backups until those expire on the providers' own schedule.
- Private links to a document expire ten minutes after they are made.
First Pass is not your record-keeping system. North Carolina expects a broker to keep transaction records for three years. Download and keep what you need.
9. Your choices
- See and change your profile and settings on the Settings page.
- Delete any property from the bottom of its page.
- Close your account from Settings, under "Your account and your data".
- Download any document as a PDF at any time.
- If a client asks you what you hold about them in First Pass, you can open, download or delete it yourself.
10. Security
Data travels encrypted. Files sit in private storage and open only through links that expire. Every write to the database goes through our own server, which checks who is signed in first. No system is perfectly secure; if we learn of a breach affecting your data, we will tell you without undue delay and as the law requires.
11. Where this applies
First Pass is offered in North Carolina, and your data is stored in the United States. North Carolina law governs this policy.
12. Children
First Pass is for licensed professionals. It is not directed to children, and we do not knowingly collect information from them.
13. Changes to this policy
When this policy changes, the date at the top changes, and a change that matters will be pointed out to you when you next sign in.
